Booking statuses

Understand the lifecycle of a booking and what each status means

Each booking goes through different statuses during its lifecycle. Understanding these statuses helps you better manage your business.

How bookings are created: both widget bookings and the ones you add manually are created as Booked (CONFIRMED) from the start. There is no need to confirm them by hand.

Available statuses

Booked (CONFIRMED)

The booking is confirmed and ready for the visit day. This is the status every booking is created with.

When it happens:

  • A customer completes a booking from the widget
  • You add a booking manually from the dashboard

What to do:

  • The booking appears in the list and on the map for the corresponding day
  • The sun loungers are blocked for that customer
  • The customer receives a confirmation email with a QR code

Checked in (COMPLETED)

The customer has arrived and has been checked in: they are present on the sun lounger.

When it happens:

  • An operator scans the customer's QR code
  • Check-in is done manually from the map or the booking details

What to do:

  • The sun lounger shows as occupied on the bookings map
  • If you made a mistake, you can undo the check-in and go back to Booked

No show (NO_SHOW)

The customer did not show up for their booking.

When it happens:

  • An operator marks the booking as a no-show
  • The system marks it automatically if you have per-zone auto-release enabled

What to do:

  • The sun lounger becomes free again so you can re-rent it the same day
  • If it was a mistake, you can undo it and go back to Booked

Released (CHECKED_OUT)

The stay is over: the customer has left and the spot is free.

When it happens:

  • An operator closes the stay when the sun lounger is no longer in use

What to do:

  • The sun lounger is available again and can be re-rented the same day
  • This is a final status: the booking accepts no further changes

Cancelled (CANCELLED)

The booking has been voided.

When it happens:

  • The customer requests cancellation
  • The operator cancels the booking

What to do:

  • The sun loungers become available again
  • The customer is notified by email
  • This is a final status: the booking accepts no further changes

Pending (PENDING)

A residual status you will almost never see. Every booking is created as Booked, so "Pending" is not part of the usual lifecycle and does not appear on the bookings map.

Status flow

Booked is the central point of the lifecycle. From there a booking can move to Checked in, No show, Released or Cancelled:

  • From Booked → Checked in, No show, Released or Cancelled.
  • From Checked in → Released (checkout) or back to Booked (undo the check-in). A Checked in booking can no longer be cancelled.
  • No show can be undone and go back to Booked.
  • Released and Cancelled are final statuses: they accept no further changes.

Is "Charged" a status?

No. "Charged" (or "Paid") is not a booking status, but a separate indicator of whether the booking has already been paid. A booking can be Booked or Checked in and, on top of that, marked as charged. That is why it does not appear in the list of statuses above.

Manually change status

  1. Open the booking details or click the sun lounger on the bookings map
  2. Click on the current status
  3. Select the new status (only the allowed transitions are offered)
  4. Confirm the change

Important: Changing to "Cancelled" will automatically release the sun loungers.

Statuses in the bookings map

In the bookings map, each active status has a color:

Sun loungers for Released, No show and Cancelled bookings show as Free again on the map so you can re-rent them the same day; each status color is used in the badges of the bookings list.

Impact on availability

  • Booked: the sun loungers are blocked for that customer
  • Checked in: the sun loungers remain occupied that day (customer present)
  • No show: the sun lounger becomes free to re-rent
  • Released: the sun lounger becomes free to re-rent
  • Cancelled: the sun loungers become available again

Automatic notifications

The system sends automatic emails when:

  • A booking is created and becomes Booked
  • A booking is Cancelled
  • The date is approaching (reminder)
